  • Creates invoices for service returns.
  • Collates and checks information for private invoices.
  • Checks accuracy of staff rota’s, mileage and visits. 
  • Ensures accurate wage payments for care staff team. 
  • Liaises with Payroll to handle queries. 
  • Takes responsibility for petty cash. 
  • Accountable to ordering protective clothing, stationery and cleaning materials.
  • Monitors and manages holiday booking and accrual. 
  • Handles all recruitment administration, including reference checks. 
  • Participates in team meetings, including taking minutes. 
  • Maintains an accurate and up-to-date database, including the information of new employees. 
  • Maintenance of client and staff diaries. 
  • Supervision of administrative assistant. 
  • Writes Care Staff Newsletter. 
  • Deals with callers to the office, personally and by telephone
  • Maintain appropriate filing and retrieval system. 
  • Performs other administrative tasks, such as photocopying and faxes
  • Runs reports for telephone questionnaires, weekly absence and weekly variations to care
  • Promote, respect and uphold the dignity of service users at all times.
  • Participate in and actively support activities to promote the dignity of service users, their families and carers.
  • Responsible for own Health and Safety, ensuring a safe working environment for colleagues
  • Undertakes any other duties in line with the basic objectives of the post.
Desired Skills
  • Excellent written and verbal communication skills. 
  • Good organisational skills. 
  • Able to work effectively under pressure. 
  • Good working knowledge of Microsoft Office, including word and Excel.
  • Database systems. 
  • Email and internet. 
  • An appropriate level of expertise in the operation of standard office information and communication technology applications, including e-mail, word processing, spreadsheet and presentations software and computerised Domicilliary care management systems.
  • Knowledge of Customer Care (desirable). 
  • Knowledge of basic payroll and invoicing processes (desirable).
Qualifications Required
  • GCSE English or equivalent through training and / or experience. 
  • RSAII or equivalent Word processing / other typing qualification through training and / or experience. 
  • Significant office administration experience. 
  • Housing Association experience (desirable). 
  • Care Services experience (desirable).

The current National Minimum Wage (NMW) rate for apprentices is £2.73 per hour (From the 1st October 2015 the NMW for apprentices will be £3.30). This applies to 16-18 year old apprentices and those aged over 19 in the first year of their Apprenticeship. For all other apprentices the National Minimum wage appropriate to their age applies. The Minimum Wage for Apprentices applies to time spent on the job plus time spent training. 
For all other Apprentices the National Minimum wage appropriate to their age applies.
